Registration Fees and Payment
Registration for the Rotary European Action Summit 2026: To BELONG in Rotterdam (hereafter “Rotary Summit 2026”), as well as any service bookings, is binding for the attendee.
Your registration will be confirmed once payment has been received.
Payment Options
All payments must be made in euros and completed online.
Cancellation Policy
Any changes to, or cancellations of, your registration must be submitted by email to registration@rotary- european-action-summit-2026.com
Cancellation fees apply as follows:
- Up to 90 days before the start of Rotary Summit 2026 (before 8 June 2026): a full refund will be issued minus a 15% administration fee.
- Between 89 and 30 days before the start of Rotary Summit 2026 (from 9 June 2026 to 8 August 2026): 40% of the amount paid will be refunded.
- Within 30 days of the event (after 8 August 2026) or in case of no-show: no refund will be provided.
A registered attendee may be replaced without penalty until 8 August 2026. The Summit Secretariat
(registration@rotary-european-action-summit-2026.com) must be notified as soon as possible and provided with the replacement’s contact details.
From 8 August 2026, an administrative fee of €25.00 (incl. VAT) will be charged for any replacements.
Program Changes
Rotary Summit 2026 reserves the right to make necessary changes to the program at any time. No partial refunds of registration fees will be issued for cancelled sessions or program changes.
Liability
Stichting Rotary Institute Nederland is expected to act with the diligence of a prudent business person in accordance with Dutch law. Regardless of any legal basis, the liability of Stichting Rotary Institute Nederland is limited to damages resulting from intent or gross negligence. This limitation does not affect the liability of the Rotary Summit 2026 Organizer or of any persons or organizations responsible for providing transportation or other services. Participants take part in all excursions at their own risk. Any verbal agreement is only considered binding once confirmed in writing by Stichting Rotary Institute Nederland.
The registrant acknowledges that participation in the Rotary European Action Summit 2026 events and activities involves certain risks and accepts responsibility for his/her own safety. If another person participates in their place under the Rotary Summit 2026 registration transfer policy, the replacement registrant is deemed to have accepted this disclaimer and waiver by virtue of the transfer.
The Rotary Summit 2026 Local Organizing Committee and the event organizers are not responsible for any theft, loss, breakage, destruction, or damage of any kind—however caused—to the personal or business property of registrants, their guests, or other participants.
All registrants are responsible for ensuring they meet all health and visa requirements for travel to the Netherlands. If a registrant, their guests, or any other participant is unable to take part in Rotary Summit 2026 due to not meeting these requirements, the Local Organizing Committee and organizers shall bear no responsibility in any respect.
Force Majeure
In circumstances beyond its control—such as war, strikes, lockouts, riots or other civil disturbances, acts of God (including but not limited to earthquakes, floods, droughts, or typhoons), or any other causes or events of any
nature that affect the arrangements, schedules, or planning of Rotary Summit 2026 and its related activities in the Netherlands—Rotary Summit 2026 reserves the right to immediately modify or cancel the event, activities, arrangements, timetables, plans, or any other elements directly or indirectly associated with it.
No party shall be entitled to compensation for any damages resulting from such modification or cancellation.
Place of Performance and Jurisdiction
Rotterdam shall be the exclusive place of performance and the venue of jurisdiction for all parties. Dutch law shall apply.
